1. What this policy covers
This Privacy Policy describes how Callgent collects, uses, stores, and shares information when you use our website, AI receptionist service, and Google Calendar integration. By using Callgent, you agree to the practices described here.
2. Information we collect
- Account information: name, email address, business name, and business details you provide when signing up.
- Call and lead data: caller phone numbers, transcripts, voice recordings, and lead information generated by our AI receptionist.
- Calendar data: when you connect Google Calendar, we access your calendar to check availability and create meetings. We do not access the contents of other calendar events unless necessary to determine availability.
- Usage data: logs of feature usage, errors, and service performance to help us operate and improve the product.
- Website content: publicly available information from your website or documents you upload to train the AI receptionist.
3. How we use your information
We use the information we collect to:
- Provide, operate, and improve the AI receptionist service.
- Answer calls, qualify leads, and book meetings on your connected calendar.
- Communicate with you about your account, service updates, and support.
- Detect and prevent fraud, abuse, and technical issues.
4. Google user data
If you choose to connect Google Calendar, Callgent's use of Google user data is limited to the following purposes:
- Reading your free/busy availability to propose meeting times.
- Creating calendar events and sending Google Meet invitations when a caller books a meeting.
- Storing a secure access token so the integration remains connected until you revoke it.
We do not sell Google user data, use it for advertising, or share it with third parties except as necessary to provide the calendar integration. We only request the minimum Google OAuth scopes required for these features.
5. Information sharing
We do not sell your personal information. We may share data with trusted service providers who help us operate Callgent (for example, hosting, telephony, and AI infrastructure), subject to confidentiality and security obligations. We may also share data if required by law or to protect our rights and users.
6. Data retention
We retain your information for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data by contacting us. Some information may be retained for legal, security, or operational purposes after account deletion.
7. Your rights and choices
You can update your account information in your Callgent settings. You can revoke Google Calendar access at any time from your Google Account permissions page. You may also contact us to access, correct, or delete your personal data.
8. Security
We use industry-standard measures to protect your data, including encryption in transit, access controls, and regular security reviews. However, no service is completely secure, and we cannot guarantee absolute security.
